How we deal with requests

Upon receiving a request the University will, in the first instance, send an acknowledgement to advise the requestor that the request has been received.

Requests are logged and then sent out to the appropriate faculty or department. It may be necessary to contact the individual making the request if further clarification is required.

The faculty or department will be given a set deadline within which to provide a response. The Information Compliance Manager will liaise with the appropriate members of staff to discuss any issues around the disclosure of the information.

If it is considered that the information is exempt then a response will be drafted that explains why the exemption is applicable and if necessary why it would be in the public interest to withhold from disclosing the information.

The individual making the request will receive a response within the statutory 20 working days. The response will make reference to the complaints process that is open to the requestor if they are not satisfied with the way in which their request has been handled.

Mae ceisiadau Rhyddid Gwybodaeth yn cael eu cofnodi wedi iddynt gael eu derbyn ac mae cofnod yn cael eu gwneud ar gofrestr. Os oes angen cadarnhad ynglŷn â’r cais bydd y Brifysgol yn cysylltu â’r person sydd wedi gwneud y cais.

Yn fewnol wedyn, mae’r rhannau perthnasol yn cael eu danfon i’r adran berthnasol bydd yn dal y wybodaeth. Mae terfyn amser yn cael ei rhoi i’r adran i ddarparu’r wybodaeth yn fewnol.

O bryd i’w gilydd fe ystyrir bod rhesymau y dylid cadw’r wybodaeth yn ddirgel. Yn yr achosion hyn rhaid defnyddio eithriad a bydd unrhyw ymateb yn rhoi eglurhad i egluro pam fod yr eithriad yna yn berthnasol.

Rhaid i’r Brifysgol ymateb i geisiadau o fewn 20 diwrnod gwaith ac mae gan unigolion yr hawl i gwyno a gofyn i’w cais cael ei adolygu os nad ydyn yn hapus gyda’r ymateb.
